Administrative Assistant
Position Description

August 2009

Function
Provide daily administrative engagement and support for the company’s Executive Vice
Presidents; provide functional and administrative support for the VP overseeing Marketing.
As requested, provide support and coordination for ethos business unit and ACE / Partner
members; perform other administrative and general office tasks that contribute to the efficiency
and effectiveness of the company; provide general support to account teams on an as-needed
basis.

Responsibilities
Client Responsibilities: Successfully provide support to clients and to client account
areas to facilitate a client-intimate approach to service
 Provide administrative support (e.g., correspondence, mail, filing, phones, travel, etc.)
 Manage the calendars and schedules for Executive Vice Presidents
 Initiate and draft occasional follow-up correspondence to clients
 Manage the proposal development process (formatting, printing, delivery, etc.)
 Coordinate conference and meeting activities (including meeting preparation, agendas,
and follow-up)
 Assist EVPs in managing key programs (i.e. SAMs, employment tracking, mentorship,
etc.)
 Provide general support to keep executives’ offices organized
 Research, as needed
 Draft reports, as needed

Company Responsibilities: Provide and service resources to enable the company to


function cost-effectively
 Provide general support to office to ensure common spaces are organized and efficient
 Provide relief to front desk and phone receptionist (first back-up)
 Database management, including contact management
 Resume and recruitment management
 Coordinate and create all-staff meeting presentation materials

Team Responsibilities: Participate as a successful team member to contribute to the


company’s client-focused culture
 Actively inform supervisor on status of assigned work
 Contribute ideas to encourage efficient company operations and optimal use of
resources
